Job Summary:
As a seasoned Executive Assistant, you are the cornerstone for ensuring seamless operation within the C-suite. With a focus on HR functions, payroll, and simple accounting, you’ll facilitate day-to-day efficiencies and long-term initiatives alike. Your role involves juggling various tasks, from recruitment and onboarding to diary management and expense control. You'll be collaborating with various departments, ensuring effective communication between senior management, clients, and external partners. Requirements:
HR Functions: Experience in recruitment, onboarding, and maintaining employee records.
Executive Assisting: Proven track record in high-level executive assistance.
Payroll: Skilled in payroll processes and management.
Simple Accounting: Capable of handling basic financial data and accounting tasks.
General Admin Work: Proficient in general administrative responsibilities.
Key Duties:
Assist with a wide variety of tasks aimed at minimizing the impact on the C-suits's time.
Provide extensive diary management for the C-suits, utilizing various platforms, and arranging internal and external meetings and calls.
Act as the first point of contact among senior management, employees, clients, and external partners.
Liaise with internal and external stakeholders, candidates, and clients, ensuring that inquiries are handled effectively and promptly, and providing progress reports as appropriate.
Manage expenses and liaise with the finance function to guarantee the prompt and efficient administration of payments and invoices.
Play a role in HR initiatives, ensuring that correct procedures are followed for recruitment and onboarding. Keep records of all employee reviews and staff training development plans.
Support the recruitment process, including scheduling interviews and assessments
Process key documentation, including contracts and agreements.
Handle Payroll and simple accounting tasks.
Perform general admin work, as required.
Act as an extension of the C-suits in meetings, taking notes and sending follow-up emails.
